Privacy Policy

1. Who we are

Sokrates is operated by Solomon Labs LLC (“Solomon Labs”, “we”, “us”), a limited liability company organized under the laws of the State of Wyoming, United States. This Privacy Policy explains what information we collect when you use the Sokrates desktop application and the Sokrates website at sokrates.cloud, how that information is processed, and the rights you have over it.

2. Information we collect

a) Account information

When you create an account, we receive your email address and a unique user identifier from our authentication provider (Clerk). If you subscribe, our payment processor (Stripe) provides us with billing status, subscription state, and a customer reference; we do not receive or store full payment card numbers.

b) Audio input

During an active session, with your explicit permission, the application captures audio from two sources: (i) your microphone, and (ii) system audio output (the other party’s voice during a video call). Audio is streamed in real time to our speech-to-text provider (Speechmatics) for transcription. Audio is processed in transit and is not stored on Solomon Labs servers.

c) Screen captures

When you press the capture (“Snap”) action, the application captures a still image of the screen or window you select. The image is transmitted to our AI provider (Anthropic) for analysis and is not retained on Solomon Labs servers after the response is returned. A reference to the capture (an image hash, mode, and the AI response text) is cached locally on your device so you can scroll back through your session history.

d) Transcripts

Transcripts generated by Speechmatics are returned to the application and may be passed to our AI provider (Anthropic) along with your query so the assistant has context. If you enable the “Save transcript” option, the transcript is written to a folder of your choice on your local disk. Transcripts are not stored on Solomon Labs servers.

e) Files you upload

If you upload reference materials (such as a résumé, job description, or code sample) to provide context for a session, the content of those files is sent to our AI provider (Anthropic) as part of your session context. For scanned PDFs without a selectable text layer, content may additionally be sent to Mistral AI for optical character recognition. The original files are not stored on Solomon Labs servers.

f) Practice-mode voice output

In practice mode, generated question text is sent to Microsoft Edge Text-to-Speech to produce spoken audio that is played back on your device. The text is processed in transit; the generated audio is not retained.

g) Usage and technical data

We record the number of captures and AI queries you make per day for the purpose of enforcing plan limits, the operating system and application version for support and compatibility, and connection metadata (IP address, timestamps, error logs) for security and debugging. We do not analyze the content of your captures, audio, or transcripts to build profiles, train models, or sell to third parties.

3. Third-party sub-processors

Sokrates relies on the following third-party services to operate. Each processes the categories of data listed beside it, and is bound by its own privacy policy:

  • Anthropic, PBC — AI analysis of screen captures, transcripts, files, and queries (Claude API). Per Anthropic’s API terms, content sent through the API is not used to train their models.
  • Speechmatics Ltd. — real-time speech-to-text on audio from your microphone and system output.
  • Microsoft Corporation (Edge TTS) — text-to-speech for practice-mode questions.
  • Mistral AI SAS — optical character recognition for scanned PDFs (fallback only).
  • Stripe, Inc. — payment processing and subscription management.
  • Clerk, Inc. — account authentication and session management.
  • Neon, Inc. — managed PostgreSQL hosting for account records, subscription state, and usage counters.
  • Vercel, Inc. — hosting for the sokrates.cloud marketing website and authentication pages.

We do not sell or rent personal information to advertisers or data brokers.

4. Data stored locally on your device

Some information is stored only on your computer and is never transmitted to Solomon Labs servers:

  • Your local capture history (image hash, AI response text, mode) in a SQLite database in the application’s user-data directory.
  • Saved transcripts in the folder you select (if enabled).
  • Application preferences such as font size, opacity, hotkey state, and chosen capture display.

You can delete this data at any time by removing the application and its user-data folder, or by clearing the local history from within the application.

5. How we use your information

  • To operate the Sokrates application and respond to your queries.
  • To authenticate you and maintain your account.
  • To process subscription payments and enforce plan limits.
  • To send transactional messages (receipts, security notices, account changes).
  • To detect, prevent, and investigate fraud and abuse.
  • To comply with legal obligations.

We do not use your captures, audio, transcripts, or uploaded files to train any model, build advertising profiles, or for any purpose other than fulfilling your immediate request.

6. Data retention

  • Account data: retained while your account is active and for up to 90 days after deletion to fulfill outstanding legal, accounting, or tax obligations.
  • Usage counters: retained for up to 12 months for billing and abuse-prevention purposes.
  • Captures, audio, transcripts, uploaded files: not retained on Solomon Labs servers beyond the time required to deliver the response (typically seconds).
  • Server logs: retained for up to 30 days, then deleted or aggregated.

7. International data transfers

Solomon Labs LLC is based in the United States. Several of our sub-processors operate globally and may process data in the United States, the European Economic Area, the United Kingdom, or other jurisdictions. When data is transferred internationally, we rely on the contractual safeguards offered by each sub-processor (including Standard Contractual Clauses where applicable).

8. Your rights

Subject to applicable law (including the GDPR and the California Consumer Privacy Act), you may:

  • Request a copy of the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your account and associated data.
  • Request export of your data in a machine-readable format.
  • Withdraw consent for processing where consent is the legal basis.
  • Lodge a complaint with a supervisory authority.

To exercise any of these rights, email support@sokrates.cloud. We will respond within 30 days.

9. Children

Sokrates is not directed to children under 13, and we do not knowingly collect information from anyone under 13. If you believe a child has provided us with information, contact us and we will delete it.

10. Security

All communication between the application, our servers, and our sub-processors uses TLS encryption (HTTPS, WSS). Account passwords are not stored by Solomon Labs; authentication is handled by Clerk using industry-standard practices. We restrict employee access to production systems and log administrative actions. No system is perfectly secure; if you discover a vulnerability, please email support@sokrates.cloud.

11. Cookies and similar technologies

The Sokrates website uses essential cookies for authentication and session continuity. We do not use advertising or cross-site tracking cookies. The Sokrates desktop application does not use web cookies.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or in-application notice prior to the change taking effect. The “Last updated” date at the top of this page indicates when the policy was most recently revised.

13. Governing law

This Privacy Policy is governed by the laws of the State of Wyoming, United States, without regard to its conflict-of-laws principles.
